Privacy Policy

PetroLedger Systems provides an operational records, inspection, maintenance, notification, and compliance-support platform. This policy explains how information is collected, used, retained, and protected when authorized users access PetroLedger.

Information we collect

Account information such as name, email address, mobile number, assigned facility, role, and authentication details.
Operational records entered into the platform, including inspections, maintenance items, permits, reports, approvals, signatures, comments, and audit history.
Technical and security information such as access timestamps, device and browser details, diagnostic logs, and actions performed within the platform.

How we use information

Information is used to authenticate users, provide authorized operational workflows, preserve controlled records, deliver requested notifications, maintain security and audit history, troubleshoot the service, and comply with applicable recordkeeping obligations.

Mobile information and SMS consent

Mobile phone numbers, SMS opt-in data, and SMS consent records are not sold, rented, or shared with third parties or affiliates for marketing or promotional purposes. Text-messaging originator opt-in data and consent are excluded from every other data-sharing category in this policy.

Mobile information may be provided to communications vendors and telecommunications carriers only as necessary to deliver PetroLedger verification codes and operational messages, prevent abuse, maintain security, or comply with law. Consent to receive SMS messages is not a condition of purchasing any product or service.

SMS choices

Users opt in by entering their mobile number in the PetroLedger profile, checking the SMS-consent box, saving the profile, and verifying the number. Message frequency varies according to assigned operational events. Message and data rates may apply. Reply STOP to opt out. Reply HELP for assistance or email reports@petroledgersystems.com.

Retention and security

PetroLedger retains account, consent, operational, and audit records for legitimate business, safety, security, and legal purposes. Administrative, technical, and access controls are used to reduce unauthorized access, alteration, disclosure, or loss. No system can guarantee absolute security.

Disclosures

Information may be disclosed to service providers acting on PetroLedger's instructions, to an authorized facility or account administrator, when required by law, or when reasonably necessary to protect people, operations, rights, or system security. Service providers may use information only to perform the contracted service.

Your choices

Authorized users may review or update profile information in PetroLedger. To request correction, deletion where permitted, or assistance with privacy questions, contact reports@petroledgersystems.com. Controlled operational records may be retained when required by law, contract, policy, or audit requirements.

Changes to this policy

This policy may be updated as the service or legal requirements change. The effective date above identifies the current version.
